Adobe Creative Cloud License Allocation Processes by University Affiliation
STUDENT AFFILIATION: Semester-by-semester, course requirement justification
Beginning January 6, 2025, Penn State will implement a semester-by-semester, course requirement justification licensing process to ensure that students who require Adobe Creative Cloud for their academic needs continue to obtain it at no cost. Students may order the software only if they need it to complete course requirements for a particular semester.
As part of the new process, all student Adobe Creative Cloud licenses will be suspended at the beginning of each semester in spring (January), summer (June), and fall (August). Students will need to renew (reorder) their license via Penn State’s online Software Request platform for each semester in which they need Adobe Creative Cloud to complete course requirements. During the request process, students will be asked to affirm their use of the application, select from a list of course(s) to which they are enrolled and that require the software, and provide a brief justification statement. Once a license
request has been made, Adobe Creative Cloud will be automatically provisioned to the student for the semester.
To prepare for this, students should back up their Adobe files currently saved in the Adobe Cloud Storage to an alternate location each semester before their license is suspended.
Students who don’t require Adobe Creative Cloud for their semester courses may order the free Adobe Express product through the Software Request website. Adobe Express is an all-in-one design, photo, and video tool for working with PDFs, creating social media graphics, flyers, video stories, and more for web and mobile using customized themes, templates, and layouts to make content creation easy.
FACULTY AFFILIATION: No change for existing license holders. Affirmation and justification requirement for new accounts
All current Adobe Creative Cloud faculty license holders will keep their existing license until they change their faculty affiliation or leave the University.
Beginning May 2025, any faculty member who requests a new Adobe Creative Cloud license via Penn State’s online Software Request platform will be required to affirm their use of the application, select from a list of course(s) to which they teach that require the software, or provide another justification reason. Once a license request has been made, Adobe Creative Cloud will be automatically provisioned and granted to the faculty member until they either change their faculty affiliation or leave the University.
Faculty who do not require Adobe Creative Cloud for their semester courses may order the free Adobe Express and Adobe Acrobat Pro products through the Software Request platform. Adobe Express is an all-in-one design, photo, and video tool for working with PDFs, creating social media graphics, flyers, video stories, and more for web and mobile using customized themes, templates, and layouts to make content creation easy. Acrobat Pro is a comprehensive PDF solution with full convert and edit capabilities, advanced protection, and powerful e-signature features. During the request process, faculty will be asked to respond to a standardized conduct statement asking them to affirm their required use of the applications to complete education, teaching, research, or daily job functions.
STAFF AFFILIATION: Manager approval via IdentityIQ (IIQ) annual auditing process
Beginning in February 2025 and annually in February thereafter, Adobe Creative Cloud access for staff will be reviewed by Managers as part of the Annual Access Certification in IdentityIQ (IIQ). With this process, Managers will have 30 days to decide whether to approve or revoke access. All manager-approved Adobe Creative Cloud staff license holders will keep their existing license until the next IIQ audit review cycle. Access is automatically revoked after 30 days if no decision is made. Note: the IIQ manager approval process will also be in effect for all sponsored accounts, staff that change units or job profiles, technical service employees, staff retirees, and termination or job forfeitures.
Staff who do not require Adobe Creative Cloud for their essential job functions may order the free Adobe Express and Adobe Acrobat Pro products through the Software Request platform.
