Printing Reimbursement

 

Due to the nature of the printing systems, it is very rare that there would be a need for a refund to be issued. Possible reasons are as follows:

– The printer has a mechanical failure that causes the print(s) to be distorted, streaked, or in some other way of unacceptable quality. (Notify the Helpdesk immediately to have this fixed)

– A software issue we are unaware of that you have not been informed of by email or the information on this site causes a bad print or no print. In the case of no print, we will need to see the issue reproduced.

– You see your plot is oriented wrong or in some way not what you expected and cancel it only inches into the plot.

In these cases, and possibly some others not mentioned, there is a print or piece of a print that you can bring to us to show that there was an issue. This is very important, no refunds can be given without physical evidence of a failure. This requirement is to prevent abuse of the refund system or bias on the part of the staff. Remember that this is a University financial issue and there are therefore requirements involved. The stability and functionality of the printers and print system are such that there will be physical evidence of a print failure if all instructions are followed properly.

The only exception to the above requirement is if one of the IT staff personally witnesses a problem that causes you to loose a print with no physical evidence. These instances are extremely rare, and usually due to user error/ not following the printing information on this site. Refunds are generally not given for a failure to follow instructions. There is however always room for unknowns, and any issue should be brought to the IT staff immediately, do not wait several days as the moment of the problem will be past and your opportunity lost.

In addition to the print out itself, you must fill out a refund form. This form is available from the IT staff or click here to download form Printing Reimbursement. Remember that you are not billed on the color plotters until you release the job from the release station successfully. If you never release the job, you are not billed. Always make sure the plotter reads Ready before you release your file. If someone has crashed the plotter and you release your job without checking it’s state, you can loose your job and have no grounds for a refund.

Remember, if you receive an error message when printing to always attach it to your print reimbursement form.
